Job Description - Office Manager / PA - Education Finance Solutions Ltd
We are an established consultancy company working in the education sector. Having just started our 5th year of trading we feel the time is right to consolidate the roles currently being undertaken by the directors and bring someone in who can take on these responsibilities across office management, personal assistant, marketing and finance.
The company is in a time of expansion so it is a very exciting time to be joining us. We have many new projects coming in to the business and need someone who is looking to have a long-term career with us and add support through this growth period.

Inputting expenses and creating/sending sales invoices
Preparing weekly debtors and monthly management reports for the Directors
Producing VAT returns
Management of contractual income including reconciliations to source documents
PA / Office Management Duties:
Support directors with diary management
Managing the post in and out of the business
Ensure lease, rent and insurance for the building and company are managed
Organise and ensure attendance of directors to weekly company meetings to discuss the weeks’ objectives.
Producing letters/emails/quotes under directors’ instruction for the clients
Laptop, IT and telecoms contracts
Answering the phone and actioning the queries appropriately
Filing and ensuring the office is organised and tidy
Ensure all legal paperwork is completed and signed regarding all client contracts
Attend meetings with existing and potential clients to discuss contracts and services
Creating and maintaining process manuals for all duties
Issuing licence information for all software
Project management for EduFin Connect hosting implementations
Any other suitable PA duties as needed by the directors
Organising of events both socially and client-focussed
Organising hotels/travel for Directors
Sending out information to potential new clients
Keeping the company’s Twitter, LinkedIn and Facebook profiles current
Creating mailshots for clients
Management of CRM cloud system
Regular calling of existing clients to “keep in touch”
An understanding of the Academy sector (in particular the finances) would be ideal, but not essential
Previously used MS office such as Word and has advanced level knowledge of Excel (you will be tested).
Good grasp of spelling, grammar and business English. You must be able to produce an email and/or letter from scratch in business terms.
Experience managing a small business’ finances
Confident on the phone
Knowledge of Sage, PS Financials, HCSS and FMS would be ideal, but not essential
Ability to prioritise
Good work ethic
Calm and collected
Can work autonomously. We need someone who will find things that need doing and not need to be given continual direction from management.
Happy to work as part of the team, but be happy managing the office on their own occasionally if directors are on site.
Although qualifications are great and offer an insight into a person’s chosen career path, at EduFin we also recognise work experience as an excellent indicator of ability. Therefore by all means tell us what qualifications you have but we also want to know your achievements because it’s no secret that we like people who have been there and done it but maybe haven’t had the ability to study.
We are looking for someone who will take this role and make it their own. While there are a number of duties listed, we are in a period of growth and this role is not restricted. As this is a new role we are very open to people coming in and suggesting changes and developments to add value and efficiency to the business.
