Paper Crisis or Paper Evolution?

As we all know, paper stocks are low and prices are at an all time high. So, what do we do to combat this? Go Paperless! Yes, it really is that simple.

In the current climate, offices nationwide are overflowing with paper and rows upon rows of filing. No matter how organised our filing systems are, we are wasting both precious time and paper. This is especially true come audit time when we must dig out a million and one different documents. What if I told you there is a way to almost completely eliminate the need for paper and printing in your office?

  1. Swap ring binders for saving documents to your computer.

    Now that we are in the age of electronic signatures, why do we need to have hard copies of documents just so we can get them authorised? Instead of printing documents and obtaining wet signatures just forward them to the relevant person and get them to authorise the document electronically. Once they have done this you can just save the document in the relevant electronic folder, and you’re done! No bits of paper floating around the school with a possibility of not returning to the finance office. Imagine how much time and paper you could save by just not clicking print?

    This way when auditors come knocking and ask you for a document you won’t even have to leave your seat. Particularly since the pandemic many more audits are completed remotely, so this eliminates the need to scan documents to your computer to upload them to their various file sharing software.

  2.  If you’re lucky enough to use a finance system that allows you to attach documents to your postings, utilise this!

    Electronically attach the invoices to their corresponding invoice documents on your system and be able to view them with a click of your mouse. If you use IRIS (PS Financials) you don’t even need to send the document out for authorisation, just simply post and attach the document and the workflow system in the background will gain authorisation from the respective person for you.
